SUMMARY -- The Administrative Assistant is responsible for defined work or projects with moderate complexity. In this role, you will follow an individual work plan and meets day-to-day short-term objectives and resolve issues through immediate action or short-term planning

ESSENTIAL JOB FUNCTIONS


Calendar management for meeting rooms and phone lines.

Make travel arrangements and coordinates itineraries.

Occasional planning, scheduling, and arranging business meetings onsite and at offsite venues.

Responsible for ordering lunch and serving for onsite meetings.

Maintain and process passport and visa requirements for travelers.

Process T&E expense reports.

Manipulating reports in excel.

Assist in monitoring supplies, ordering supplies and physically stocking supply areas.

Assist in monitoring vending supplies, ordering vending supplies and physically stocking vending supply area.

Assist with mail metering, sorting and delivery.

Primary back up to receptionist position. Includes greeting visitors and answering telephone.

Occasional after hour availability is required.

Ability to maintain confidentiality is required.

Anticipate needs and accomplishes responsibilities with minimal direction.

Manage multiple projects and priorities and initiates follow up to ensure timely achievement of commitments.

Capability to look ahead and anticipate needs to ensure project or requirement is met.

Proficiency in Microsoft Word applications.

Must be able to work a flexible schedule.

Physical Demands:


Regularly required to use hands to finger, handle or feel; reach with hands and arms; and talk or hear

Frequently required to stand and walk

Frequently required to sit for long periods at a time

Occasionally required to stoop, kneel, crouch or crawl

WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Work is performed in a normal office environment with minimal physical risks involved. The noise level in the work environment is low to moderate. Occasional work performed in manufacturing setting with potential exposure to fumes, dust, noise and moving machinery.

EDUCATION and/or EXPERIENCE


Associates degree; equivalent combination of education/experience considered.

2+ years of administrative experience.

Experience using MRP systems.

Experience using travel booking tool. (Concur)

LANGUAGE SKILLS
Ability to read, write, speak and understand English.
